Work at Kaboom: Production Coordinator

Kaboom Animation Festival presents the most daring, creative and innovative international animation in a mindblowing festival from 21-30 March 2025 in Utrecht, Amsterdam and online. Besides film, we offer an Expanded Animation program, in which the boundaries of animation are explored. Kaboom Animation Festival is a platform for sharing stories in animation. By selecting previously unheard voices and untold stories and facilitating encounters between the makers and our audience, we stimulate creativity and feed exchange and tolerance. Our team consists of all kinds of different people who love animation: everyone suits Kaboom!

Production Coordinator 
To help us prepare the upcoming edition of the festival, we are looking for an experienced Production Coordinator. Our Head of Production will prepare your job and transfer tasks to you in January.

Team & Tasks
Kaboom’s production team is close-knit and well attuned to each other. You will be managing a program producer, a ticketing & helpdesk coordinator, a volunteers coordinator, a hospitality producer and a production intern, almost all experienced Kaboomers. Also, you will be working closely together with a Head of technical Production and an Industry Producer. During the festival, the team is supplemented with location managers and about 80 volunteers. The tasks you will work on are:

  • Managing the production team: weekly meetings, task division, supporting decision-making;
  • Managing the production budget: keeping track, informing business manager, making sure invoices are sent and received timely;
  • Taking part in management meeting to ensure communication between departments;
  • Location agreements: adjusting agreements, making sure everything is set in contracts (in collab with business director), informing the location about our planning;
  • Ticketing: help setting up and testing ticketing via Filmchief, manage the (online) ticket sales, preparing on-site ticketing during the festival
  • Insurance & permits;
  • Hospitality: being responsible for the execution of hotel contracts and control of the travel budget;
  • Specials: overseeing both specials in screening rooms and outside cinema’s, managing producers;
  • Volunteers: organize volunteers meeting, managing coordinator;
  • Catering: setting up sustainable crew catering on all locations;
  • Logistics: managing all scheduling, overseeing information structures on all levels, keeping external parties informed and informing colleagues, crew and guests;
  • Evaluation: ensuring festival evaluations with team, departments and locations.

We are an organization in which employees can be themselves and feel safe. In order to be able to perform the tasks as a production coordinator at Kaboom, it is important that you:

  • Are an energetic, cheerful person that doesn’t overload quickly;
  • Have an open mind, are creative in problem solving and are capable of seeing the value in your team members and making them excel;
  • Work in a structured manner, keeping an overview of many different processes and are willing learn working in our database (Filmchief);
  • Speak and write both Dutch and English;
  • Are good at communicating within the organization and with the external partners;
  • Work independently;
  • Are experienced in organizing (film)festivals or other events.

Furthermore, it would be nice if you have a driver’s license and experience with working in database Filmchief.

Practical information
We assume a collaboration with a freelancer, but remuneration via a payroller is also an option.  The job starts in January and builds up towards the festival. The total job is for 30-35 days, most of them in February and March. The fee will be based on age and experience, but we aim to find someone available for around € 275 per day, excluding VAT.  We have an office in Amsterdam and a desk in Utrecht that you could work at; working partly from home is an option.
